How to Prepare for Your NDIS Plan Review in 30 Minutes or Less

How to Prepare for Your NDIS Plan Review in 30 Minutes or Less

A warm, bright hero image with natural lighting showing a parent and a child sitting at a sunlit kitchen table, looking at colourful documents together.

Does the thought of an NDIS plan review make you want to hide under the covers with a block of chocolate? We hear you. Between the acronyms, the paperwork, and the pressure to say exactly the right thing, it can feel like a full-time job.

But here’s a little secret: you don’t need a weekend-long retreat to get ready. In fact, if you focus on the right things, you can have your ducks in a row in about 30 minutes. At Nurturing Hands Allied Health, we believe therapy should be about making life easier, not more stressful. That’s why we’ve put together this “sprint” guide to help you prep for your meeting without the burnout.

Let’s dive in and get you ready for your next mobile therapy services check-in.

Minute 0–10: The Document Dash

The biggest time-waster in NDIS prep is hunting for lost emails and buried PDF reports. Stop searching and start gathering. You don’t need every receipt from the last three years: you just need the “heavy hitters” from the last six months.

What to grab:

  • Your current NDIS plan: Highlight what you actually used and what you didn’t.
  • Recent therapy reports: Focus on progress reports from your speech pathologist or physiotherapist.
  • The “Support Evidence”: If you’ve been working with an Allied Health Assistant (AHA) through Nurturing Hands, have your recent progress summaries handy. These provide the day-to-day evidence of how you are working toward your goals.

Pro Tip: Create a folder on your desktop (or a physical one on your kitchen bench) and drop everything in there. Having one “source of truth” saves you hours of panic-scrolling during the meeting.

Minute 10–20: Framing Your Disability Goals

The NDIA loves goals. But as a busy family, your goals are often just “getting through the day with fewer meltdowns.” To make the NDIS work for you, we need to turn those real-life needs into disability goals that the planners understand.

Instead of saying “I want my child to be happy,” try framing it around independence and participation. For example:

  • “To improve my child’s ability to dress themselves independently for school.”
  • “To build the communication skills needed to interact with peers at the local park.”

When you work with our team, we help you align your therapy assistant support with these specific outcomes. Because we provide mobile services in your home or at school, we see the real-world barriers your child faces. Use that “lived evidence” to explain why a goal matters. If a goal wasn’t met, don’t sweat it: just explain why (e.g., “We needed more frequent sessions to see progress”).

Minute 20–25: The “Typical Hard Day” Story

Planners often hear about the “best” version of a participant. But for your plan review, they need to understand the “hardest” version. This isn’t about being negative; it’s about being accurate so you get the right support.

Spend five minutes jotting down what a “typical hard day” looks like.

  • How long does it take to get out of the house?
  • How much supervision is required to keep everyone safe?
  • What happens when things go wrong?

This narrative is often more powerful than a clinical report because it shows the impact of the disability on your daily life. It helps justify why you might need more budget pacing flexibility or increased support hours.

Minute 25–30: Maximising Your Budget with the AHA Model

One of the most common stressors we see is the “budget cliff”: realising halfway through a plan that the funds are running low. This is where Nurturing Hands really shines.

Our model is built around Allied Health Assistant (AHA) support. By utilising an AHA to deliver your therapy programs (under the guidance of your external Allied Health Professionals), you can make your funding go much further.

Think of it like this: if you only see a senior therapist once a fortnight, progress can be slow. But if you have an AHA visiting your home twice a week to implement those same exercises, your child gets more practice, more consistency, and better outcomes: often for a lower cost to your plan.

During your review, you can advocate for more “Capacity Building” funding by explaining that you utilise a collaborative AHA model to maximise every dollar. It’s a win-win for your budget and your progress.

Why the Nurturing Hands Approach Works

We know that every family is unique, which is why we don’t believe in “clinic-only” therapy. By bringing our services to your home, school, or workplace, we reduce the travel stress and see the environment where your goals actually need to be achieved.

Our founder, Deb, brings her own Disability Lived Experience (living with Multiple Sclerosis and Rheumatoid Arthritis) to everything we do. She understands that the system can be overwhelming, and she’s built Nurturing Hands to be the supportive, holistic partner she wished she had. We’re not just a service provider; we’re part of your team.
